ROLEBROKER / PRIVACY

Privacy Policy

Last updated 23 August 2026

Rolebroker values your privacy. This Privacy Policy explains how we collect, use, store and protect personal data when you use our website, register a candidate profile or contact us as a company.

01

Data controller

Rolebroker is responsible for processing the personal data collected through the website and Rolebroker’s services. This means Rolebroker determines why and how personal data is processed.

02

Personal data we collect

When you register a candidate profile, Rolebroker may collect information such as your name, email address, current role, employer, the types of roles you are interested in, location preferences, information in your CV and other information you choose to provide. Please do not include sensitive personal data or information that is not relevant to your career profile. If you contact Rolebroker on behalf of a company, we may collect your name, employer, email address and information about the candidate or skills the company is looking for.

03

Why we process your personal data

We process personal data to create and manage candidate profiles, understand candidates’ experience and identify relevant career opportunities so we can contact candidates when a suitable opportunity arises. For company contacts, we process personal data to handle enquiries, discuss hiring needs and provide Rolebroker’s services.

04

Legal basis for processing

Rolebroker processes personal data on an applicable legal basis under the General Data Protection Regulation (GDPR). When you register a candidate profile, we process the information necessary to provide the service and career representation you have requested. For some processing, Rolebroker may also rely on legitimate interest, for example to manage candidate relationships and company enquiries, provided the individual’s rights and interests do not override that interest.

05

Processing of candidate profiles with AI assistance

Rolebroker may use tools based on AI to analyse information in a candidate’s CV and draft candidate profiles and summaries. The purpose is to structure professional experience, education and other relevant career information and support Rolebroker’s work representing candidates. In this process, information from a candidate’s CV may be processed by external AI service providers, such as OpenAI, acting on Rolebroker’s behalf. Rolebroker does not use AI to make automated decisions about candidates. Content generated with AI is used as working material and can be reviewed, edited or deleted by Rolebroker. Processing is based on Rolebroker’s legitimate interest in efficiently managing and structuring candidate profiles, provided the candidate’s rights and interests do not override that interest.

06

When we share candidate information with companies

Rolebroker does not share a candidate’s identity, CV or other identifiable information with a company unless the candidate has first approved sharing it in connection with a specific opportunity. Once the candidate has approved an introduction, relevant information may be shared with that company to enable contact and a possible recruitment process.

07

How long we retain personal data

Personal data in a candidate profile is retained while the candidate wishes to be represented by Rolebroker and the information is needed to maintain the relationship and identify relevant career opportunities. We review candidate profiles regularly and delete or anonymise information that is no longer needed. Information from company contacts is retained for as long as needed to handle the enquiry, business relationship or legal obligations.

08

Your rights

You have the right to know what personal data Rolebroker processes about you and to request correction of inaccurate information. In certain circumstances, you may request deletion or restriction of processing, or object to processing. You can contact Rolebroker at any time if you no longer wish to be represented and want your candidate profile removed. You also have the right to lodge a complaint with the Swedish Authority for Privacy Protection (IMY) if you believe your personal data has been processed incorrectly.

09

How we protect and store personal data

Rolebroker takes appropriate technical and organisational measures to protect personal data from unauthorised access, loss or other unlawful processing. We use external service providers for the website, form handling and storage. These providers may process personal data on Rolebroker’s behalf and are subject to appropriate agreements and security requirements. If personal data is processed outside the EU/EEA, Rolebroker ensures that the transfer uses a valid transfer mechanism under the GDPR.
